Attendee experience

This article documents the attendee journey through each stage of an example event for the company One Less.

Pre-event

Landing page/countdown

The event landing page is available from the moment the event is created. It includes a countdown to the scheduled event start and a customisable message. The landing page will be visible until the event is manually taken Live.




Registration (if enabled)

The following experiences are only available when registration is enabled for the event.

Landing page/countdown

A registration button and customisable call to action message are displayed.




Form

A registration form is accessible from the countdown page. Attendees are able to complete the form to indicate their interest in attending the event. The form fields are customisable in event registration settings.




Confirmation

Once the form has been successfully completed attendees are shown a customisable thank you message.




Confirmation email

Upon registration attendees are sent an event branded confirmation email containing the following information:
  1. Customisable message
  2. The event schedule start date and time (including time zone)
  3. Calendar invites for Google, Outlook and Office 365
  4. Login username and password




Reminder emails (if enabled)

Two event branded reminder emails can be scheduled for the event. These are sent out in advance of the scheduled start date to remind attendees to log on. You can customise when each reminder email is sent. Reminder emails contain the following information:
  1. Customisable message
  2. The event schedule start date and time (including time zone)
  3. Calendar invites for Google, Outlook and Office 365



Live event

Login

Attendees are required to log in. If registration is enabled the attendee will receive their unique login credentials via email. The Login page will display the following information: 
  1. Customisable title
  2. Customisable tagline
  3. Customisable registration call to action message (if enabled)
  4. The event schedule start date and time. This is localised to the user's timezone based on their device clock.
The landing/countdown page will automatically change to the login page when your event goes live. If the scheduled event start time has passed the countdown will be removed and a notice "starting soon" shown in its place.






In Session

During a live session, attendees will see the Attendee Portal. In this portal they will see the live stream, selected engagement tools (Directory, Poll, Chat, Q&A) and custom pages. To customise the look of the event see branding. This page adapts to different devices including mobile and desktop.



Pages

Additional static content can be displayed in custom pages in the side panel. Examples include a welcome message, agenda, presenter biography, product information, etc.
If only one page has been created the name of the tab will match the name of the page. If multiple pages have been created the name of the tab will be "Info" and each page will be displayed in a list for attendees to select.




Engagement

Q&A

When enabled, Q&A is available for attendees which allows them to post questions throughout the event. All questions are moderated from the Studio. Approved questions can optionally be shown to attendees and upvoting can be enabled which allows attendees to 'like' a question. The default visibility for new questions, either approved or removed, can be changed in the event settings. 



Attendees can filter the submitted questions to see all submitted, order by most upvoted or those marked as 'answered' by moderators. 




Polling

When enabled, polling allows attendees to vote in response to a question. Attendees are only able to vote on a poll once and after they have voted their response cannot be changed. They will be able to see the live poll results after voting if this is enabled in the event settings. Only one poll can be visible at once.




Chat

When enabled, chat is available for attendees which allows them to post comments and images throughout the event. All chat messages are moderated from the Studio and, once approved, are visible to attendees. The default visibility for new chat messages, either show or hide, can be changed in the event settings. 



Help

The attendee can access the help page using the question mark icon. The help page displays a link to troubleshooting steps, a customisable help message and an email shortcut to the event support email address.




Logout

The attendee can logout at any time to end their attendance. If attendees close the page without logging out manually their session and statistics are stopped within 1 minute.




Post event

Once the event is finished, all attendees are logged out of the Attendee Portal and shown a customisable message.
